Reinventing the B2B UX of the green energy supplier Octopus Energy

In 2024, the green energy provider Octopus Energy consulted us for the redesign and optimization of its customer space intended for managing PRMs (Measurement Reference Points) for businesses and local authorities.

During this mission, we collaborated with account managers, developers, customer relationship managers, and of course, end users. Here’s a recap of this collaboration with Mathieu Galaup, Director of Business & Local Authorities, who was our main point of contact during this mission.

Hello Mathieu! To start, could you briefly introduce yourself and explain your role within the Octopus Energy team?

Hello Nicolas, I am Mathieu Galaup. I have been working at Octopus Energy (formerly Plum Energy) since 2019.

I have had several roles within the company, but I am currently the B2B director, which means I am in charge of businesses and communities. I lead the B2B business unit and manage several teams: teams focused on pre-sales, so commercial teams and teams that build pricing, but also customer service teams, and teams responsible for major accounts, all supported by a digital marketing team in charge of communication and engaging with our business and community clients.

What was the reason you reached out to Systerz for this project to revamp the experience for Businesses and Communities?

We turned to Systerz for several reasons. The first is that we had already partially worked together, and it went very well. I had worked with you from a distance, but what I saw of the results was great. In fact, we reached out on the recommendation of Lancelot and Joanny, General Directors at Octopus Energy. So we contacted you and spent these lovely months together.

The second reason we enjoy working with you is that we share strong values. You do too through your agency. I think we wouldn't have necessarily worked under the same conditions with an agency that didn't share these values at all, or at least didn't have somewhat similar values. What struck me was the aspect of "We try to promote accessibility." I find that really aligns well with us.

What were your goals for this project? And what were the stakes for Octopus Energy?

The primary goal was to create a dedicated client space for our business and community clients, which will be put into production once we have completed our IT system change. It was essentially to be able to address the needs of all our client types through this client space, namely single-site clients as well as multi-site clients with several thousand, or even tens of thousands of delivery points (PDL). We needed a deliverable capable of managing this somewhat atypical functionality.

We arrived at this point for several reasons. First, we are starting an IT migration that began with B2C. Until now, we operated on a system that served both as back-office and client space. So internally and externally, we were working on the same tool. We realized that it wasn't necessarily optimal. And we found that we, internally, as regular users of this tool, often had the same feedback and needs as our clients.

Overall, to summarize, we thought it was an opportunity to take advantage of this upcoming IT change to rethink our way of functioning, rethink the existing setup, and try to adapt it, simply to ultimately provide the best possible experience for our community and business clients.

Regarding the approach proposed to you by Systerz, what would you have to say about it?

Great experience! I was really pleasantly surprised. I'm not used to working in this field, let alone with agencies, so it was a first for me as a co-leader. I had a lot of questions at the beginning. I wasn't quite sure how it would go.

One of the goals we set was to maintain the lead and not get into a downward spiral. All those pseudo-doubts were cleared up right from our first exchange. I've told you this before, but I'll repeat it: what I really appreciated and what pleasantly surprised me was the ease and speed with which you managed to both challenge us and identify our needs and transform them into UX needs.

That's really interesting because among the two or three people who really led the project on our side, there were no experts. And in fact, you really managed to support us daily on the project, being ultra pedagogical and explaining to us, "Here’s the goal, it’s a bit general, but if we break it down, it’s more interesting to approach it this way, etc." In summary, a true support and a real understanding of our needs.

And what stood out to you the most in our collaboration?

There’s one thing that is important to me and that really struck me: it’s the human aspect! Beyond a collaboration that went extremely well, I found that a natural rapport developed very easily. The fact that you came to our offices, that we met regularly, that Martin (product designer) was there at least two days a week, and that he was really present in the teams, really created a collective.

There was no boundary at all between Octopus and the service provider; it felt very natural. We could speak openly. To summarize, you managed to create this human and trusting relationship, which is for me the cornerstone of a good collaboration. I talked a lot about this with Martin, who also gave me that feedback, saying it was, I don’t remember, a month and a half, two months that were great because we were available to answer his questions and we were also engaged on our side.

Especially since I know you were very busy...

We committed to this project knowing what to expect, and that was also part of the things you framed from the start. We had an ambitious goal of saying, "By the beginning of 2024, we will have a deliverable; it’s going to be tough, but we’re going for it, and we can do it." Okay! Well, we did it!

For you, what were the highlights of this collaboration?

First, the initial framing point. You presented us with your methodology, your thinking, the main objectives you understood, and any adjustments we could propose. I think this first point is, of course, important in the project. I believe we really started to create that human connection from there. It’s also from there that we said, "Okay! This is cool! Our project is in good hands because they really understood our need."

You also challenged it a bit. You reformulated it to ensure everyone understood it well, and then, a frankly perfect framing, and the presentation of the next steps: "It’s going to be like this, we will operate like this, etc." So really, the first key moment for me was this initial framing, which was important.

The second major highlight: I loved the workshops we were able to do. Both us, engaging internally, it’s a great exercise. The tool we are currently revamping, we use it almost daily, we master it, and so it was really interesting. And the way you brought these reflections and workshops was really super interesting. So really, that’s a key moment for me.

And the last highlight is when we saw the almost final version at the last point we could do, where we clearly project ourselves, realizing that we actually went where we wanted to go with you. And in fact, we can’t wait for the day when we can make the mockups a reality.

Today, what would you say to describe the benefits of this project and everything we've done together for the Octopus Energy team?

The first thing that comes to mind, maybe because I have a bit of a packed schedule, is the time savings. I’ll simplify it, but overall, you only reach out to us when it’s necessary, and that’s a real comfort. The fact that we work in trust, we agree to function like that.

Then the... how to say... the fact that you managed to involve all the teams, whether it was the core team defined at the start, but also the fact that we could bring in people who popped in here and there, because in such or such sprint, they were interesting people, creates a real climate of trust and a genuine willingness to contribute to this project. So I think there’s a huge added value there. Once again, it’s this notion of humanity and collectivity that is really important.

Then there’s the added value of the final tool. It allows us to project ourselves, to generally realize that where we want to go at some point will be made possible thanks to this project and the work you’ve done. But I will still say, you brought us a skill and an experience that we currently do not have in the impacted teams.

And if I ask you the same question about the benefits for the users?

The benefits should correspond to the initial objectives: allowing users to save time, to be more autonomous, to easily find the information they need quickly and logically. Finally, and we discovered this thanks to you, allowing users who may have visible or invisible disabilities to use our tool as simply as possible. I mentioned earlier accessibility; it’s something I didn’t know but had never explored.

The fact that Anastasiia trained us on the subject and explained to us, with all the pedagogy she demonstrated, the concept of accessibility and the different levels on which we could position ourselves is a real strength, beyond a simple marketing issue.

I think we had never really asked ourselves the question of whether someone with any visual impairment could navigate my site. Honestly, we never asked ourselves that question, and the fact that you came with this social and societal issue of saying: "Be careful, it’s very nice, but keep in mind that someone who is colorblind won’t be able to use your site," is ultra interesting, and I think it’s a real benefit because we also realized, through Anastasiia’s support, that it affected many more people than we thought.

Alright! My last question: do you think the initial objectives have been met?

Absolutely, really without any reservations, the objectives are completely met; they are even exceeded. If we really start from the objectives we set internally at the beginning, as I mentioned at one point in our discussion, you managed to challenge them. First, you understood them, but you also proposed new ones.

Typically, we hadn’t taken into account the fact that we wanted a client space that could adapt from a client with one contract to a client with fifteen thousand. We were rather thinking of splitting it into two. What I really liked is that you took it as a challenge and told us: "Ta ta ta, no, that’s our job, and we know we can do it." We hadn’t thought about it initially, and it’s even a path we had ruled out. So yeah! Objective completely achieved despite a tight deadline, but we succeeded, and that’s cool.

Any final words?

Thank you to your teams; beyond the quality of the output, it’s objectively very pleasant to work with you. It’s both very professional but also very human and even friendly. Working in a somewhat flexible manner, remotely, then meeting, having meals together, chatting a bit, and you coming to immerse yourselves in our daily lives... honestly, it’s super pleasant, and it makes the project go smoothly. The project is not a constraint despite the fact that, once again, it’s not at all my area of expertise. Great support, great team, very nice, all positive.
